What is Kargo Kolay?

Kargo Kolay is a barcode-triggered packing video recording and tracking program for e-commerce businesses. It runs the IP camera above your packing table together with a barcode reader: when a shipping barcode is scanned the recording starts by itself, it stops when the package is finished, and the video is archived under the tracking code. When a return, missing-item or damage claim arrives, you type the barcode and play the exact packing video. It needs no NVR recorder.

People search for this need under different names: video proof of packing, shipping proof video, order packing camera, packing station camera or simply “recording a video while packing orders”. Kargo Kolay automates it: instead of filming by hand and sorting files later, the recording starts by itself when the shipping barcode is scanned and the video is saved under that shipment’s code, so the video proof is found in seconds when a dispute comes in.

How it works

From first install to your first proof video in six steps.

1

Install and connect the camera

The setup wizard finds your camera model, tests the live view and sets the recording folder.

2

Scan the shipping barcode

The scan names the file and starts a short countdown, which you can cancel if you scanned the wrong label.

3

Pack as usual

Show the items, close and tape the box. In multi-item mode, scan each product barcode as it goes in.

4

Finish the recording

Scan the same barcode again, a stop barcode or the next box, depending on the scenario you chose.

5

Hand over to the carrier

Scan the boxes the courier collects and print an A4 handover sheet with the carrier and courier details.

6

Find proof in seconds

Search by tracking code, play the video, and share or compress it for WhatsApp, email or a marketplace appeal.

A proof-ready packing station

What wins a dispute in e-commerce is recording every package in the same, traceable way. The station below is an example; Kargo Kolay applies the same logic with barcode-triggered video instead of photos.

Barcode-scanning packing station (DWS): overhead fixed camera, ruled measuring surface, thickness gauge and automatic archive by tracking number
Example barcode-scanning and package dimensioning (DWS) station layout: fixed camera, measuring surface, barcode reader and automatic archive. Illustrative image; the software on the screen is not the Kargo Kolay interface.
  1. 1

    Fixed camera

Mounted to cover the whole table: same angle and framing for every package. Kargo Kolay works with standard RTSP IP cameras; no separate recorder is needed.

  2. 2

    A consistent work surface

A fixed, flat, well-lit surface so the box, label and contents are clearly visible. Sellers who want size evidence can place a ruler fixture beside the box; the camera captures it too.

  3. 3

    Barcode reader

Scanning the tracking code starts the recording by itself; the operator does nothing else. Scanning the same barcode again ends it.

  4. 4

    Automatic archive

The video is filed under the tracking code. In a dispute, type the code and find the recording in seconds. In the mobile version the date, time and barcode are also burned into the video.

What is a DWS station?

DWS (Dimensioning, Weighing, Scanning) stations are set up to measure the size and weight of parcels and read their barcodes. In such a station a fixed camera covers the whole measuring area from above, the ruled surface shows the box's length and width, a thickness gauge shows its height, the barcode reader reads the tracking number and the record is archived under that number. Kargo Kolay covers the camera, barcode-reading and archive-by-tracking-code part of this layout with video instead of photos. It does not calculate size or weight; businesses that use a measuring fixture can place it in the camera's view and the measurement shows in the video.

Features

Barcode-triggered recording

Three working scenarios: same barcode to start and stop, a dedicated stop barcode, or multi-item boxes.

Instant search

Type a tracking code or box item barcode and play the matching video straight from the report.

Reports and reconciliation

Daily packing counts, staff activity, returns, and packages recorded but not yet handed to the carrier. Export to Excel or CSV.

Carrier handover

Scan boxes as the courier takes them and print an official A4 handover sheet.

Power-cut protection

Recordings are written in fragments, so unfinished files can be recovered after an outage.

Easy to share

Standard MP4 (H.264) plays in any browser and phone. One-click compression for WhatsApp and email.

Why not just use an NVR?

A conventional NVR records continuously and leaves you to search a timeline by hand. Kargo Kolay records only what matters, one video per package, named by its barcode.

New

Kargo Kolay Mobile

Barcode-triggered packing video recording with just an Android phone: no PC, no IP camera. An affordable option for small businesses shipping up to about 200 parcels a day and new e-commerce sellers. Coming soon to Google Play.

Just a phone

No PC, NVR or IP camera setup. The phone's rear camera does the recording, and setup takes minutes.

Hands-free

Mount the phone on your head or chest. Bring the label into the green frame to start; bring the same barcode back to stop.

Date, time and barcode on the video

The system clock and scanned barcode are burned into the video, which makes it strong evidence in disputes and claims.

Reports and search

Daily, weekly and monthly counts and durations, search by barcode, CSV (Excel) export.

Share and back up

Share selected videos via WhatsApp, email or Google Drive. Optional automatic backup to your own Google Drive (no password: you only approve Google's permission screen) or a WebDAV server, with delete-after-upload.

Privacy-minded

No audio is recorded. Videos stay on your phone and the developer cannot access them. A privacy notice is built into the app.

Carrier handover and PDF sheet

When the courier arrives, scan the packages with the same camera; packages without a camera recording are flagged, and an A4 handover sheet with carrier and courier details is produced as a PDF. Recorded-but-not-yet-handed-over packages are listed too.

Stock counting mode

Switch to stock counting in Settings: single (each scan counts one) or quantity mode (scan, enter the quantity, default 1). Results are shared as an Excel (XLSX) or CSV report. One tap takes you back to shipment tracking.

Compression and quality settings

Choose the video quality; shrink videos to a WhatsApp-friendly size before sharing, or compress automatically while charging. If the same barcode is scanned again you can record a new clip, overwrite, block, or save it as a return.

Barcode reader support (USB / Bluetooth)

Optionally connect a USB (via OTG) or Bluetooth barcode reader to the phone and choose "External reader" in Settings. The camera only records and never searches the image for barcodes: the phone runs cooler, and reading is fast and reliable even on phones with slower processors. For fast work, the "new barcode ends the previous recording" option records each package with a single scan. The reader also works for carrier handover and stock counting.

Ideal for up to 200 parcels a day

Phones can heat up and drain the battery faster when the camera runs continuously for long periods. That is why the mobile app is ideal for businesses shipping up to about 200 parcels a day. Above 200 parcels a day, we recommend the desktop (Windows) version, which runs all day with a fixed IP camera and a barcode reader.

What's included

  • Scan zone: only a barcode inside the frame counts, so a label staying in view won't disturb the recording
  • Different start and stop sounds and vibration
  • Heat, battery and storage warnings; automatic cleanup of old recordings
  • Detection of interrupted recordings and crash reports
  • In-app update check
  • Carrier handover: courier sheet (PDF), flag for packages without a recording, list of packages waiting to be handed over
  • Stock counting: single and quantity counts, Excel (XLSX) / CSV report, history of counts
  • Duplicate-barcode behavior and separate counting of return recordings in reports
  • Video quality choice and WhatsApp-friendly compression (optional automatic compression)
  • USB (OTG) and Bluetooth barcode reader support; in reader mode the image is not searched, so the phone runs cooler

Requires an Android 12+ (64-bit) phone; 4 GB+ RAM recommended. A barcode reader is optional (USB-OTG or Bluetooth in keyboard/HID mode). Android only for now. The app is available in English and Turkish.

Frequently asked questions

What is Kargo Kolay?

Kargo Kolay is a Windows program that records the packing of every shipment on video. A barcode scan starts the recording automatically, it stops when the package is done, and the video is archived under the shipment's tracking code so you can find it in seconds.

What do I need to use it?

A Windows 10/11 computer, an IP camera that supports RTSP pointed at the packing table, and a barcode reader (optional, the code can also be typed). No NVR or separate recorder is needed.

How much does it cost?

$98 for a lifetime license including 12 months of updates. You can try the full program free for 10 days before buying.

How does it help with returns and disputes?

When a customer or marketplace claims an item was missing, wrong or damaged, you type the tracking code and play the exact packing video that shows what went into the box and how it was sealed. That is the evidence you need for appeals and carrier damage claims.

Can I record several items inside one box?

Yes. In multi-item mode you scan the box barcode, then each product's barcode as it goes in, and the list is saved with the video.

Which cameras work with it?

Standard RTSP IP cameras, including Hikvision, Dahua/Imou and TP-Link Tapo models. Cameras of 6 MP or more give the clearest barcode and label images.

What happens if the power goes out during a recording?

Recordings are written to disk in fragments. After an outage the program detects unfinished files at the next start and lets you recover them.

Can I share a video with a customer or marketplace?

Yes. Videos are standard MP4 (H.264) files that play in any browser and phone, and the built-in tools compress a video for WhatsApp or email.

What is a DWS (dimensioning, weighing, scanning) packing station, and which part does Kargo Kolay cover?

A DWS station is a packing setup where parcels are measured, weighed and scanned. Kargo Kolay covers the camera, barcode-reading and archive-by-tracking-code part with video: scanning the barcode starts the recording, the video is stored under the tracking code and found in seconds. It does not calculate size or weight; if a measuring fixture is used, the camera captures it in the video.

Can I record packing videos with just a phone, without buying a computer or camera?

Yes. Kargo Kolay Mobile works with the rear camera of an Android phone: showing the shipping barcode to the camera starts the recording, showing the same barcode again stops it, and the video is stored under the tracking code. No computer, IP camera or NVR is needed; you can also connect a USB or Bluetooth barcode reader to the phone. It is an affordable start for small businesses shipping up to about 200 parcels a day and for new e-commerce sellers; the license is $29 + VAT per device with a 10-day free trial.

What is the difference between Kargo Kolay Mobile and the Windows version?

The mobile version runs on an Android phone alone, sets up in minutes and is ideal for operations of up to about 200 parcels a day ($29 + VAT per device). Because a phone camera running continuously for long periods can heat up and drain the battery, we recommend the Windows version above 200 parcels a day. The Windows version works all day at the packing table with a fixed IP camera and a barcode reader, and is designed for high-volume, multi-staff packing and reporting ($98 lifetime license). Both archive each recording under its tracking code so it can be found in seconds.

Can I use a wireless (Bluetooth) or USB barcode reader with the mobile app?

Yes. Connect a Bluetooth or USB (via OTG) barcode reader that works in keyboard (HID) mode and choose "External reader" in Settings. In this mode the camera only records and never searches the image for barcodes: the phone runs cooler and reading is faster and more reliable. Scanning a barcode starts the recording and scanning it again stops it; optionally, the next package's barcode ends the previous recording and starts a new one. The reader also works for carrier handover and stock counting.

How do I prepare video proof for shipping disputes?

Record the whole packing moment without cuts, showing the items going into the box and the box being sealed, and store the video so it is clear which shipment it belongs to. Kargo Kolay does this automatically: scanning the shipping barcode starts the recording, the video is archived under the tracking code, and when a dispute comes in it is found in seconds by typing the code. You attach the video to the marketplace's or carrier's dispute form yourself; how the evidence is assessed is up to them.

How do I install the mobile app without Google Play?

Until the Google Play process is complete, you can start using it right away by installing the APK file manually. Open this page on your phone and tap "Download APK", open the downloaded file and, if Android shows a warning, turn on "Allow from this source" and tap "Install". If Google Play Protect shows a warning, choose "Install anyway". Open the app and allow the camera permission; the 10-day free trial starts automatically. New versions arrive inside the app with an "Update" prompt.
